In line with the International Code of Conduct for private security companies, Safeguard Security Services (PRIVATE) Limited has established procedures to enable staff or other stakeholders to report any potential violations of the ICoCa or company policies. Grievances can be registered on a “Grievance WhatsApp Number” +263 774 635 355 or sent through via call or text to the same number. Alternatively, grievances can be sent on email on ethics@safeguard.co.zw WhatsApp messages and emails can be anonymous, and every reasonable effort will be made to protect the identity of the reporting person. The reporting platforms are monitored by a senior member of the organization, responsible for implementing the code of conduct.
Safeguard Security Services (PRIVATE) Limited undertakes to:
Investigate allegations promptly, impartially and with due consideration to confidentiality
Consult the complainant throughout the investigation and ensure that the complainant’s wishes are respected whilst ensuring that all measures are taken to protect the identity and livelihood of the complainant
Keep records about any such allegations, findings or disciplinary measures. Except where prohibited or protected by applicable law, such records will be made available to a Competent Authority on request. Records will be kept for a minimum of 7 years to comply with regulations.
Where a significant threat has been raised through a grievance, the organization will escalate the grievance to the relevant including external competent authorities and will cooperate with official investigations, and not participate in or tolerate from their personnel, the impeding of witnesses, testimony or investigations
Take appropriate disciplinary action, which could include termination of employment in case of a finding of such violations or unlawful behavior
Ensure that their personnel who report wrongdoings in good faith are provided protection against any retaliation for making such reports, such as shielding them from unwarranted or otherwise inappropriate disciplinary measures, and
That matters raised are examined and acted upon without undue delay.
